How Does The Dropbox Quota Work?

“Your Dropbox is full and is no longer syncing files.” That’s because we’re using the Dropbox Basic (free account) and didn’t know how the quota works.

We assumed:

  • we had 2GB of our own to play with, to put in a folder of our own;
  • should a colleague share a folder in their Dropbox with us, it doesn’t count against our quota.

We were wrong. The 2GB free Dropbox Basic quota is a 2GB “window” for browsing/managing data, be it our own or someone else’s. At any one time, we can only view a maximum of 2GB. When the folder content exceeds 2GB, even if by someone’s else’s action, our Dropbox will stop syncing.

So we have to explain the “2GB window” framework to our colleagues and get them to archive their obsolete files elsewhere and reserve the 2GB Dropbox window strictly for working files.

We only recently discovered that Dropbox works on a subscription model – never bothered to look before. If we pay, we get a bigger window and extra services. No thanks.
